Copy Cataloging checklist


Cataloging

_____ Perform item search in both OCLC and Barton

_____ Check type of record (e.g. full/core CONSER, minimal level CONSER, non-CONSER)

_____ Catalog (compare record to piece, check accompanying information and special instructions, lock and replace [CONSERize]- if necessary, perform bibliographic and authority work)

Edit call number and related fields in OCLC record:

_____ check local call number in Barton to avoid duplication, and to properly place item with similar items on shelf

_____ 050 call number is usually accepted for classed titles on a CONSER record

_____ 090 call number is usually verified for classed titles on a non-CONSER record

_____ 099 (local call number) half class for Humanities, Science, and S-P

_____ type "x" in 090 for unclassed materials going to libraries other than Hum, Sci, and S-P

_____ 049 (library code for journals only) [see field 949 documentation]

Add fields (in OCLC):

_____ 599 for LCN for item in Barton (if there is a record or copy set)

_____ 910 (cataloger's initials and date of edit)

_____ 949 local holdings ($a, $g, $z Serial)

_____ 949 for barcode (if necessary) ($a, $p, $v)

For title changes (in addition to the above edits):

_____ check the ISSN ($x) DLC# ($w) and OCLC# ($w) in the 7XX fields to the linked records in OCLC

_____ check links and related fields (i.e., 260 $c, 300 $d, 362, etc.) on related OCLC and BARTON records for "deadness"

_____ recatalog linked OCLC records if necessary (add field 910 in OCLC and update); update Barton holdings if necessary (e.g.-close out holdings on earlier title)

_____ Update ("u") record

_____ Update local holdings in record in Barton.

For microform:

_____ follow checklist

_____ check 7XX fields in both the original and microform records, correct if necessary (lock and replace)

Also check the following fields [refer to CONSER Editing Guide (CEG) for field definitions]

_____ fixed fields in header

_____ 007

_____ 245 $h

_____ 533 and/or 539

For CD-ROM:

_____ follow cataloging instructions for serials

_____ check 7XX fields in both original (if original is other than CD-ROM itself) and computer file record

Also check the following fields [refer to CEG for field definitions]

_____ 007

_____ 245 $h

_____ 5XX


Processing

Soft cover items:

_____ affix label with call number (if necessary)

_____ add "REF" (if necessary) before call number if it is a Humanities item

_____ mark main entry and title on chief source of item (in pencil!)

_____ if there is a monograph barcode on the back cover, redline the barcode

_____ complete serials cataloging routing slip (rs9109) or blue slip/serials action form (CatSERRECAT 95-9) and place item on appropriate shelf of serials mail truck

Hard bound items:

_____ write call number in pencil on verso of chief source of item

_____ add "REF" (if necessary) before call number if it is a Humanities item

_____ mark main entry and title on chief source of item (in pencil!)

_____ if there is a monograph barcode on the back cover, redline the barcode

_____ complete serials cataloging routing slip (rs9109) or blue slip/serials action form (CatSERRECAT 95-9) and place item on cart to be sent to the bindery for processing

Microform:

_____ affix label with call number (LC or SuDocs)

_____ add "Microfiche" or "Microfilm" before call number

_____ add "REF" (if necessary) before call number if it is a Humanities item

_____ send to appropriate library

CD-ROMs:

_____ affix label with call number (LC or SuDocs)

_____ add "Computer Disc" before call number

_____ add "REF" (if necessary) before call number if it is a Humanities item

_____ send to appropriate library


Reports

_____ Report to Kardex for new titles and title changes (i.e.-successive cataloging--ordered on subscription, on blanket order, or arriving as a "comes on" title)

_____ Report to Gov. Docs. Kardex for ALL newly cataloged gov. docs. titles and title changes

_____ Report OCLC record for deletion (936 field) if there is a duplicate record [see CEG, 936 section 4]

_____ give report to DVH

Report to NSDP U.S. imprints (new, or title changes) lacking an ISSN or having an incorrect ISSN (i.e., a title change that has the earlier title’s ISSN) [The NSDP Request Form can be found in the CEG, section C6, page 3.]

The surrogates need to be labeled as follows:

  • at the top of the surrogates provide the following information:
    • _____ "From MCM"
    • _____ OCLC# (of corresponding record)
    • _____ Type [refer to NSDP Request Form]
  • label all surrogates exactly as follows:
    • _____ [front cover]
    • _____ [title page]
    • _____ [verso]
    • _____ [back cover]

Give NSDP Request Form and surrogates to DVH

Reporting records to "J".

  • We report a change in encoding level on a monograph record to "J" when we CONSERize the serial record to level "b" (blank), and the monograph record(s) on OCLC have LCCN numbers in the 010 field.
  • LC needs to be notified that this title is no longer being treated as a monograph, but as a serial.
  • The report regarding these records is simply a list of the monograph LCCN numbers given to DVH along with the OCLC# of the serial record.
