Ordering using Worldcat record

CATALOGING MODULE


  1. Open Cataloging Module by clicking on the MARC icon in the lower right screen:MARC jpg1

  3. Make sure that both the Binocular icon and the Find command highlighted, as well as Tab 2. Multi-base CCL Search are open:Ordering with Worldcat jpg2

 

  • In Tab 2, check the boxes next to both MIT Complete Catalog and Worldcat.  By doing this, you will be searching our own catalog for duplication, and if none are found, you’ll be able to see if there is a World Cat record that you can use for creating your order.

  • Depending on the citation on hand, you may need to repeat this search for both ISBN and Title.

 

       Here’s an example of an ISBN search and results:

          Since no duplication was found in the MIT Libraries catalog, MIT01, you should copy the WorldCat record to continue with creating an order.

 

  1. Highlight and double-click on the WorldCat record or alternatively, click the SHOW button on lower right screen.

          Screen displays the record:

     4. Click on the “Catalog” button in the right margin of the upper pane:

         Or the “Cataloging” button in the left margin of the lower pane: Ordering with Worldcat jpg9

     5. Select “Brief” from the Record Format list that appears, and then “Okay”:

  1. Duplicate the record into our catalog by selecting “Catalog/Duplicate Record” from the top menu:

     7. Select MIT01 as Library and then “Okay”:

8. Check the record and edit as necessary. There may be typos or foreign language titles, particularly, that may need editing to remove boxes that appear when characters don’t transmit properly.  If we don’t edit at this point, the errors will be corrected when the cataloging record overlays the order record:

  1. The system will respond with a “new” record number at the top of the screen:

    10. Click on the safe with red arrow:

  1. Click on the “Continue” button:

  1. When the Error Checking window appears, click “Override”

    13. Push this new brief record to the Acquisitions/Serials Module, by clicking the Acquisitions button in the upper right hand corner of the screen:

ACQUISITIONS MODULE

  1. Once you’ve pushed the record into Acquisitions, click the “Add” button in the upper right hand corner of the screen:

     2. Be sure that “Monograph” is selected in the Order Type box, and then click “okay.”

     3. Complete the appropriate fields on Tabs 2, 3, and 4 of the order:

     4. When all fields are completed, click on the “Add” button on the right side of the screen:

     5. The new order information will display in the top pane of the screen, with the system-assigned order number:

     6. Click on “Send” Ordering with Worldcat jpg27

     7. A dialog box appears telling you the order will be printed; Click “OK:”

  1. Note that the order status change from NEW to RSV:

     ORDER IS COMPLETE!  Repeat above steps for your next order.
