Use of Replacement (RPL) Fund

POLICY


The Replacement (REPL) Fund may be used only in the following three cases:

1. Items lost and billed to users

All orders for lost materials billed to a borrower, regardless of whether the bill was paid, may be charged to REPL. 

2. Missing, Lost, Brittle, Damaged, or Defective Items

  • Missing, lost, brittle, damaged or defective items for which no borrower can be billed and which have been identified via user request, inventory project, or missing report or are for reserve or reference.
  • Single missing issues of print-only journals that are identified at time of binding. 

The Subject Specialist will determine whether there is likely to be future use of the missing title and will make the final decision on whether or not to replace.

NOTE:  Damaged items, such as water damage, may be eligible for the Preservation Fund.  Consult the Head of Preservation Services.
    

3. Items Lost in AMES
All orders for materials lost during processing in 14E-210 may be charged to REPL.  Note "Lost in 14E-210" on the order citation.

 

PROCEDURE:


If a decision is made to order a replacement, the following information should be noted on the order citation:

  • Library name
  • Fund information: REPL or R-IRC-REPL
  • If  barcode for missing item is to be deleted from the record, you must note this for the deletion to be done by the cataloger:
