Suppressing a Bib. Record for orders that should not display in OPAC

1. If you’ve created an order that should not display to public, such as Do Not Cat/Office copy, or if you cancel an order that is not going to be filled and should no longer display in theOPAC, retrieve the Purchase Order in Acquisitions/Serial Module:

2. Click “Overview” button in the left side of screen:

3. System responds with the MARC record.  Click the “Cataloging” button on the right side of screen:

4.  Once in the Cataloging module, click on “Edit Text”

5. And then and select “New Field (User-defined)”or press F6:

6.In the “Status” field, key in “STA  __ a  SUPPRESSED”as shown on line 2 below:

7. Save your edits to the record by clicking on the “Save” icon in the upper right hand corner of screen:

8. Click on “Continue” in the” Save on Server…” Window:

9. Click on “Override” in the “Record Check Warnings/Error” Window:

10. The record is now suppressed from view in the OPAC and you can return to the Acquisitions module and cancel the order, if you have not already done so.  Be sure to put a note in the Order Log as to why the cancellation was done.
