Budgets - FY End Timeline

  1. The deadline for submitting orders, including GOBI E-Selections, to Monograph Acquisitions is approximately one month before we close in the fiscal year, usually mid-May.  We guarantee that all orders received by this deadline will get ordered and encumbered in the current FY, as fund balances allows.  We will notify the appropriate selector and Collection Manger, via email, when a fund runs out of money with an option to reassign a different fund or have us hold until the new FY.
  1. RUSH orders, including GOBI E-Selections, for patron requests and course reserve can be submitted up until the next-to-last day we are live in the current FY..
  1. As soon as all orders that are received by the deadline are complete, we will send out an email requesting that you send along more orders, as funds allow, until the Friday prior to our last live day in current FY.   Selectors should check fund balances in Aleph, which has up-to-date figures.  If you check balances via Brio Query, be aware that figures are one day old.
  1. We will receive and invoice all shipments that reach us by our last live day, usually mid-June.
  1. Down-time generally runs about one week, allowing Administrative Services time to review the year-end figures and build the new FY’s budgets.  We will notify subspec-lib when we are live again.  GOBI E-Selections may continue to be submitted during down time, but they will not load until the new FY.
