Lewis Library Special Collection Processing

Unlike Rotch Limited Access Ordering, the Music Library’s Limited Access Materials are usually facsimiles and not rare material.  If they do order a rare item, which will be noted as “Rare Item – do NOT Stamp,” we will follow the Rotch instructions for rare materials and will not stamp or barcode the item*.

 

ORDERING
In addition to the usual order elements (title, publisher, price, fund, initials,) titles to be ordered for the Lewis Music Library’s Special Collections (LMTED) need special notes for receiving and processing.

  • Music Librarian will clearly note “LMTED” instructions on the citation or emailed order as: Cat LMTED, No Loan.
  • Monograph Acquisitions Order Assistant will change the Collection on order from STACKS to LMTED.

RECEIVING
Upon receipt, the Monograph Acquisitions Receipt Assistant will:

  • Receive and pay for the item in Aleph
  • Property stamp the item
  • Affix and wand the barcode
  • Create note in Order Log as to where item went next – Ex:  Music Cubby in CAMS
  • Print the Arrival slip
  • Shelve the item in the cubby just outside the AMES Department Head Office, the Music Cubby, for cataloging.

POST-CATALOGING
Once the item has been cataloged, the Cataloger will put

  • Cloth – on the Perseveration Services book truck for labeling and security stripping.
  • Unbound - in the Music Cubicle for the Music Library Staff to pick up and transfer the item to Music.

 

*Rare material should never be sent through the mail via Delivery Services.
