Monograph Acquisitions: Mail - Opening Packages

Mail- Opening Packages

(Revised January 31, 2011)

Before opening any packages, check the address to confirm that it addressed to Monograph Acquisitions. The package should state our section, the name of someone on our team, a purchase order number (Ex: 11-3456) and/or the use of the letter “A” in the Bldg. number:  14E-210A.

  • When you start a new booktruck, please label with the date so that trucks can be processed in order of receipt.
  • Invoices should be placed in the middle of the text block, for single item shipments, and in the text block of the first book of the shipment.
  • Shipments with multiple items should be put in the same order, left to right, as listed on the invoice.
  • If the package does not include an invoice or packing list, please cut out the mailing labels, both To: and From: addresses, and insert in the book.
  • If the box is marked RUSH, give the book to Meghan or Amy for immediate processing.
  • YBP Shelf-ready shipments should be given priority after RUSH books.

Packages not addressed to Monograph Acquisitions should be distributed as follows:

  • Serials and Journals packages should be pushed to the left side of the mail table for Serials Acquisitions staff to retrieve.   Clues on the mailing label include:
    • STO, Standing Order, CO, Continuations, Ser/Jrl, Serials and Journals, PO numbers with a letter at the beginning and 5 numbers (Ex: D78325.)
  • Packages for the Government Documents Section should go to Maureen O’Donnell.  Clues on the mailing label include:
    • Documents Section, 0255, UPGPO.
  • Packages labeled from OCLC, mostly small white boxes, go to Jane.
  • Packages containing books with MIT labels and call numbers should be put in the “Outgoing Mail” bins for delivery to Hayden Access Services, Rm.14S-100.
