YBP Shelf Ready Orders/Receipts - Things to Watch For!

ORDERING

  • Special collections – REF, TRAVL, etc.  IF Selector has not chosen the appropriate collection, we need to fix before ordering.  If NOT done in GOBI, we need to alert CAMS to fix upon receipt of item for these collections (they map correctly to OCLC only if present at time of ordering) :

  • Use the 1010-11 account instead of the SR account for orders with:
    • Class together note
    • Presence of Cat. Note such as REPL, call #, Subsequent volume #   
    • SERCAT note or suspect it’s a possible Serial, such as annuals, directories and yearbooks.

RECEIVING AND INVOICING

  • Open boxes
    • Match dust jackets with books for HUM/Music/Dewey only
    • Dust jackets for all other locations can stay rolled up and travel with books to local unit
  • Receive items in Aleph after checking ISBN and Property Stamp; wand barcode; print arrival note when appropriate (cataloging, preservation services or access services notes)
  • Invoices for books – mark as usual and put in invoice tray
  • Invoices for processing fees – put in an envelope marked “Macrina” and put in invoice tray
  • Books with YBP flags need special attention; flag gets removed by appropriate unit, after work is done

     EX: If flag is to alert you to stamp the book, remove flag after stamping.

  • Books should be reviewed for potential binding issues; place those you identify in a box, which then goes on the truck in cataloging that goes down to Preservation Services each day.
  • Notify Charlene/Alex that all receipts are done so that OCLC file can be loaded; MUST check with Beth before initiating any loads.

DISTRIBUTION

  • Books with a call number AND needing no other attention:
    • Box books for Dewey,  Rotch, Barker
      • Use pink mailing labels which are stored over mail table
    • Deliver books for Humanities  and Science to Hayden Access Services Desk; there are marked shelves to place these books.
    • Put books for Music on the “Music Library” shelf in the 14E Mail area. 
  • Books with a call number AND a “Bind” instruction: 
    • Put on  catalogers’  Preservation Truck  with printout of the Arrival Slip
  • Books needing call number retyped or affixed to book:
    • Put on catalogers’ Preservation Truck with YBP flag and labels
  • Books without call number:
    • Put on a truck and leave outside Jane’s cubby
  • Books with accompanying material, such as CDs,  multi-volume sets, books with weird call numbers on labels , i.e., not usual LC format:
    • Give to Sara Meyers
