Monograph Acquisitions: Checking in new Science Shelf Ready books for the New Books Display

Please Note: This task should be done after the entire YBP shipment has been arrived and the records have been fully loaded into the system.

The “quick” check in process in Aleph can be used to change the IP (Rec’d Ask for Assistance) status to the desired status of NB (New Books Display) with just a few steps as follows:

Go to the Circulation module and choose the “Change Item Process Status" in the main menu bar under Items.

  1. Enter “NB” into the item process status box.
  2. Scan the barcode into the barcode box.  This action is what changes the IP to NB and it is rather seamless (except if you get a pop up alerting you to hold requests- if you do have any items with hold requests  set aside until step #5 below)

3. Put a purple “New Books Display” flag in the book (more flags are available from Hayden     circ. Staff upon request as they have a large supply of the paper and also recycle some of the flags [Amy confirmed w/ Maria Feb. 2012]

4. Bring the books down to Hayden Circ. Pre-shelving area (the shelf for “New Books Display” books is directly across from the DVD shelves).

5.  RUSH/HOLD items: Before bringing the new books down to pre-shelving go ahead and process the rush/requested items, if there are any. 

a. In the items module remove the Item process status (in this case it is the NB) and hit the update button over to the right.

b. In the Circulation module, activate the hold.  1. Click on the return arrow facing downward (second button from the left) and then 2. Scan the barcode into the item box. 

This activates the hold process. There will be a pop up telling you “the item is not on loan” …just click ok.

Next:

A. If the item is for pick up at Hayden Circ. the hold slip will print out for you to put into the book and bring down to the hold shelf.   

B. if the item is going out to another library the hold slip will not print out and you get a pop up telling you where the book should be routed to through the mail:
