MIT Records Management Program: Digitization

Overview

The key to a successful digitization project is planning. When done carefully, scanning Institute records can benefit your office: integrating legacy documents into an electronic system, quickening retrieval, and enabling remote access by multiple users are all good uses for this technology. On the other hand, scanning records just to save space in your office rarely pays off.

Depending on the type of records, alternatives to digitization may include offsite storage at Iron Mountain or transferring records to the Institute Archives. Contact us for a consultation and a copy of our Digitization Project Planning Template for MIT Offices and DLCs.

Image on Demand (Iron Mountain) Instructions for Records Management Liaisons

If your office stores records offsite, contact us to request a PDF via Iron Mountain's Image on Demand service. Indicate the barcode, box number, and the name of the file you would like scanned. When the order is placed, you will receive an email confirmation. Orders placed before 3:00 PM are typically delivered within two business days.
