DDC Reading Room Policies and Procedures: Request System

This guide provides instructions and background for tasks that occur in the DDC reading room.

Overview of Queues and Terminology

Queues allow staff and users to track the physical location as well as workflow of a given item moving through the Distinctive Collections Request System (Aeon). For more information on these workflows, please see the workflow documentation available here.  

In an attempt to make the queues more manageable for staff we have grouped them as follows. By grouping the queues together, staff can expand/collapse the groups as necessary using the carrot beside the given grouping.The bolded groupings are the ones most important to have open at the Reading Room Desk. For these groupings, I have also included the associated queue lists and brief descriptions: 

  • Reading Room Requests (queues commonly used in the reading room) 
    • Awaiting Request Processing (on-site requests for the next 15 days that do not have associated locations (HD or ASC))  
    • Remove from Hold (a user has requested that the item be returned)  
    • Item on Hold in Reading Room (item is on hold behind the grate)
    • Item on Hold - Reference Scans (item is on hold behind the grate for reference scans) 
    • Action Needed (Item has been on hold with no contact from user for 7 days, if it remains in this queue for 7 days with no additional contact from the user it will be returned to storage)
  • ASC Requests
    • ASC Request (general ASC requests by users and staff - for general users these requests count against their 15 on-site requests) 
    • ASC Activity Request (ASC request associated with an activity) 
    • ASC Imaging Request (ASC request for imaging) 
    • In Item Retrieval - ASC (the call slip has been printed and is in the process of being retrieved for staff and users - for general users these requests count against their 15 on-site requests) 
    • Retrieval for Activity - ASC (the call slip has been printed and is in the process of being retrieved for an activity)
    • Retrieval for Imaging - ASC (the call slip has been printed and is in the process of being retrieved for imaging) 
    • Awaiting ASC Reshelving (the request is awaiting reshelving) 
  • HD Requests 
    • HD Request (general HD requests by users and staff - for general users these requests count against their 15 on-site requests)
    • HD Activity Request (HD request associated with an activity)
    • HD Imaging Request (HD request for imaging) 
    • HD Item Ordered (call slip has been printed. This is the queue that we use to curate the daily HD order based on the aforementioned HD queues, please do not print HD call slips without speaking to Mattie or Myles)
    • Awaiting HD Pickup (Items returning to HD) 
  • Staff Review
    • Needs Staff Review (items that have been retrieved for HD or ASC that need to be reviewed prior to serving in the reading room, once this review has occurred the items will be routed to "Item on Hold in Reading Room") 
    • Description Update Requested (requests where description updates are needed - accompanying email send to archivesspace-help@mit.edu)
    • Description Update In Progress (description updates in progress) 
    • Description Update Completed (description update complete, accompanied by a response to the original libanswers ticket) 
    • Missing Items (items that we have been unable to locate) 
  • Imaging Requests 
  • Activity Requests
  • Digital Requests
  • Conservation
  • Processing 
  • In Retrieval/Reshelving (requests that are not located at ASC or HD may appear in this grouping) 
  • Automatic Requests 
  • Inactive Requests  
  • Cancelled Requests 
  • Completed Requests 

Please note - queues and associated groupings will not appear in Aeon unless there is an active request in that queue.

The "New" section contains the option to create new users, create new activities, and to use the process functionality.

  • New User - In practice, we should not be creating accounts for users via the client, new users should be instructed to create an account at https://mit.aeon.atlas-sys.com/logon/
  • New Activity - This allows you to create activities within Aeon. Please consult Activity Guidelines regarding what information is necessary for a given activity type. To see activities that are currently active change between "requests" and "activities" in the home view where queues are visible. 
  • Process - This is the most important functionality within the "New" section. This will allow you to place multiple requests in a given queue at once using a barcode scanner. The options available using the processing function are as follows with those most prevalently used at the Reading Room desk in bold: 
    • Check Out 
    • Place on Hold 
    • Reshelve Item 
    • Item Reshelved 
    • Item Delivered 
    • Needs Staff Review 
    • In Imaging Post Processing 
    • In Imaging On-Site 
    • In Imaging 
    • In Conservation 
    • HD Item Ordered 
    • Conservation Complete 
    • 1b - Needs Conservation - Staff 
    • 1a - Needs Conservation - User 

The other sections of the Top Navigation allow you to search various data within Aeon including Requests, Users, and Activities. 

  • Search Requests - This section allows staff to search requests. Most commonly, this section allows you to search for a specific Transaction Number (TN) or Citation Information. In this situation, Citation Information can include any information that may be associated with an item including collection title, collection number, item title, or call number. 
  • Search Users - This section allows staff to search user information. Most important for this section is to search users by Name. This will be how staff at the desk locate user records to clear and sign them in and out of the reading room. 
  • Search Activities - This section allows staff to search activities. Most commonly, this will be by Activity Name as this will include class name/number or some other identifier.
