DDC Reading Room Policies and Procedures: Inter-Library Borrowing (ILB)

This guide provides instructions and background for tasks that occur in the DDC reading room.

In Library Use - ILB Items

ILB staff will occasionally receive "In Library Use Only" items, which they will bring to DDC for users to see in the reading room. These items are usually in our care for about a month. The workflow for these items is as follows: 

  1. The ILB staff person will send instructions to the user to create a Distinctive Collections Request System account and make an appointment. 
  2. Once the item is on-site, ILB staff create a manual request under the name "MIT Interlibrary Borrowing" and add it to the ILB activity for the fiscal year titled "ILB In Library Use Only - FY####" In the Additional Information field, they'll include, "TN #: In Library Use Only Item from Interlibrary Borrowing - User Name."
  3. The ILB staff will bring the item up to the reading room, and staff at the desk will print the callslip for the ILB request. Give the "Item In Use" half to the ILB staff and place the other half in the book. Be sure to route the item to "Item On Hold for Activity" after printing the callslip. Place the book on the designated shelf behind the reference desk. 
  4. Once the user has made an Aeon account, the initial ILB request should be cloned to them. 
    1. To clone:
      1.  Open the request placed by ILB staff and select "Clone," then "Clone Request to Another User" and search for the user's name. Double-click their name and click "Clone." 

  5. Route the item to "Item on Hold in Reading Room" and print the request. This will print a full-page slip instead of the half-page callslip. 
  6. When the user comes to the reading room for their appointment, check the item out to them as usual. If they don't finish with the item during their appointment, route the item back to "Item on Hold in Reading Room."
  7. When the user is done with the item: 
    1. Route the request under their name to "Request Finished" and place the full-page request slip in the shred box behind the grate.  
    2. Open the original ILB request and navigate to Email > New Email > ILB Item Ready for Pickup. This will open an email where you'll need to select "Send Email" in the upper left-hand corner. This will automatically route the item to "Awaiting Item Reshelving."
       
  8. When ILB staff comes up to retrieve an item, they will bring the "Item in Use" half of the callslip with them. When you return the book to them, route the request to "Item Reshelved," match up the two callslips, and place them in the shred box behind the grate.
